Applied AI systems for growing businesses

Build room
to grow.

Applied Margin finds the recurring work constraining your team, then designs, builds, and embeds one reliable AI system that creates measurable capacity without outsourcing judgment.

Margin is more than profit.

It is the time, attention, capacity, and quality your business has left to grow.

01

The work is invisible.

The costliest repetition is buried in inboxes, handoffs, spreadsheets, and the workarounds nobody documents.

02

The pilot never becomes a system.

A demo gets applause. Then it misses the real data, permissions, edge cases, and tools that make the business run.

03

The team gets a tool, not a new way of working.

Without an owner, review rules, training, and a scorecard, adoption fades and the old process quietly returns.

Trace. Choose. Build. Prove.

Advice, engineering, and adoption stay in the same room.

The work moves through four gates. Each one creates something the business can inspect, own, and use—even if it chooses not to buy the next phase.

01
Trace

See the work as it really happens.

Observe the workflow. Interview the people inside it. Baseline time, volume, errors, delay, cost, and risk before choosing technology.

Output Current-state trace + measured baseline
02
Choose

Pick the constraint worth solving first.

Rank value, feasibility, data, risk, and adoption. Recommend a build only when there is a measurable path to recovering the investment within 12 months.

Output Build / buy / simplify / leave-alone decision
03
Build

Make the smallest reliable fix real.

Build against representative cases, connect the existing tools, protect access, and design the human review and exception path before going live.

Output Working system + evaluation set + review path
04
Prove

Measure the gain and make the work stick.

Teach the operator to understand the workflow, use the system, verify its output, override it, and recover. Compare the result with the baseline, document ownership, then decide whether to operate, revise, stop, or expand.

Output Before / after scorecard + runbook + next decision

Start with observable work

Is the workflow large enough to matter?

Use a conservative capacity estimate to decide whether a deeper baseline is worth the effort. Real value also includes cycle time, errors, throughput, customer experience, and revenue—not just labor hours.

Manual workflow hours / month160h
Loaded hourly cost$45
Conservative reducible share30%

ROUGH ANNUAL CAPACITY CASE

$25,920
576 hours / year48 hours / month
A planning estimate, not a savings promise. The Margin Scan replaces assumptions with observed volume, labor, errors, cycle time, and an agreed measurement plan.

From bottleneck to working system

No mystery phase between the proposal and the proof.

Each step has a clock, an inspectable output, and a decision. You always know what we are doing, what we need from you, and what earns the next phase.

01

MARGIN SCAN

7 business days
  1. Interview the owner for 45–60 minutes
  2. Review one department or operating area
  3. Identify three-to-seven credible opportunities
  4. Compare impact, cost, effort, and risk
  5. Recommend buy, build, redesign, or leave alone

02

WORKFLOW BUILD

2–5 weeks
  1. Week 1 — confirm scope, baseline, cases, and written tests
  2. Weeks 1–3 — build the essential or integrated workflow
  3. Weeks 2–4 — test exceptions, permissions, review, cost, and rollback
  4. Weeks 2–5 — dual-run, seed failures, train, measure, and hand over
  5. Final decision — operate, revise, stop, or expand

Build the system. Build the judgment.

The system should make the team stronger—not dependent.

AI should remove low-value work without weakening the people accountable for the outcome. The operator learns what the workflow does, what good looks like, where it fails, and how to take control.

01

Understand

Explain the inputs, decisions, and definition of a correct result.

02

Use

Run the assisted workflow efficiently on representative work.

03

Verify

Recognize incomplete, suspicious, or incorrect output before it travels.

04

Recover

Override the system, repair the work, and escalate the right exceptions.

05

Improve

Turn real operating feedback into a stronger workflow and runbook.

GO-LIVE RULE

Faster is useful. Capable is durable.

We do not recommend live rollout until a named operator can explain the workflow, use the system, verify its output, override it, and recover from an agreed failure scenario.

OPTIONAL EXPANSION

Operator Lift

From $3,50030 days · scoped by team

Roll one validated workflow across a department with role-specific practice, failure drills, manager coaching, office hours, and a readiness report. Available only after the workflow is validated through a Margin Scan, Workflow Build, or documented review of an existing production system.

The decision comes first

Start with the diagnosis. Build only when the case earns it.

  • One owner conversation
  • One workflow or bottleneck examined
  • One plausible opportunity identified
  • Plain recommendation on whether to go deeper
  • One 45–60 minute owner interview
  • One department or operating area reviewed
  • Three-to-seven ranked opportunities
  • Buy, build, redesign or leave-alone decision
  • Impact, cost, effort + risk comparison
  • Four-day quick-win plan + live decision readout
  • Office Hours: two working sessions monthly

RISK REVERSAL / PLAIN TERMSWHAT WE CONTROL, GUARANTEED

01 / MARGIN SCAN CLARITY GUARANTEE

Decision-ready by the final readout on business day 7—or refunded.

Receive at least three relevant opportunities, one clearly ranked first move, and a written implementation decision. A responsible “do not build” decision still counts.

02 / SHIP-TO-SPEC GUARANTEE

Agree on the test before we build. Then hold us to it.

If included work within our control misses the written tests, we remediate it at no professional-service fee for 30 days. If it still cannot pass, we refund the final project payment.

Both guarantees require timely access, accurate client inputs, agreed scope, client participation, and functioning third-party systems. Neither is a promise of revenue, savings, layoffs, adoption, third-party uptime, or perfect model performance.

Selectivity protects the result

Built for a specific kind of first move.

Strong fit

  • 20–100 employees and roughly $3M–$50M in revenue
  • A recurring workflow consumes 60+ staff hours each month
  • An owner, CEO, COO, or operations leader will sponsor the work
  • The team uses several tools and re-enters, chases, summarizes, or routes information by hand
  • A human-reviewed administrative workflow can be the first proving ground
  • The team wants more capacity without losing judgment or accountability

Not the first move

  • You only want generic prompt training detached from a real workflow
  • There is no measurable workflow or accountable operator
  • The first use case makes autonomous legal, medical, credit, hiring, safety, or financial decisions
  • The goal is headcount reduction without a credible adoption and risk plan
  • You need a promise of revenue, layoffs, or perfect model accuracy

Before we touch the workflow

Clarity is part of the build.

01Do you only recommend custom software?

No. The right answer may be to configure a tool you already own, connect two systems, improve the process before adding AI, or build a focused custom layer. The Margin Scan makes that buy / configure / build decision explicit.

02Will our data be used to train public models?

Not by default. Each engagement documents the data flow, models, subprocessors, retention settings, credentials, and access boundaries before production use. Client-owned accounts and least-privilege access are preferred.

03Will this make our employees dependent on AI?

It should do the opposite. The Operator Standard requires the people who own the workflow to understand what good looks like, use the system, catch exceptions, override it, and recover when it fails. We do not recommend live rollout until a named operator can demonstrate those abilities on agreed scenarios.

04Can you help a larger team adopt a workflow?

Yes, after one workflow has been validated through a Margin Scan, Workflow Build, or documented review of an existing production system. Operator Lift starts at $3,500 and includes role-specific practice, seeded-error and recovery drills, a manager scorecard, office hours, and a readiness report. We do not sell generic AI training as a substitute for implementation.

05What do the guarantees cover?

The Decision Clarity Guarantee covers at least three relevant opportunities, one ranked first move, and a written implementation decision by business day 7. The Workflow Build Ship-to-Spec Guarantee covers observable acceptance tests agreed before the build. These commitments require timely access, accurate inputs, and the agreed scope. They do not promise revenue, savings, layoffs, adoption, third-party uptime, or perfect model accuracy.

06Can you work with our MSP, agency, or internal developer?

Yes. The model is designed to work beside the people who already own your systems. Roles, credentials, handoffs, IP, and ongoing maintenance are documented so the client is not trapped behind a consultant.

07What happens after the first workflow?

The scorecard determines the next move: operate it as-is, revise it, stop, build the next ranked workflow, or begin a Margin Partner engagement. Expansion is earned by evidence, not assumed in the original sale.
